Forum thread: Timetable Fails to Sync

Martin Peters

Component: Timetable
What I did: Set up ODBC model in Access 2010 which works in all respects except Timetable
Error Message: No errors reported

The resulting problem is: My ODBS model will import teachers, classes with students and class names, but I then have to manually setup the timetable for each teacher. Why is Stearsoft not importing my timetable model for each teacher?

Dear Martin,

Thank you for your post. This should work, and certainly does work in the installations I am aware it is being used in, so it is worth trying to make it work for you too.

If you haven't found it already, the following static tutorial page may help:

http://www.stearsoft.co.uk/odbc-tutorial1/odbc-tutorial2.html

One thing to highlight is that you need to import the times of the day and periods from your ODBC connection into the Administrator account; ensuring that the times of the day and periods are correctly identified by the ID values you use in your Access Database is needed to make the timetable part work.

If you're already doing this and fully following the tutorial, you can get some detailed logging output to help trouble-shoot the ODBC interface: Go to the 'STEAR Administrator' program installed on the Start menu, set a 'Log files directory' and increase the priorities to show up to 150. This gives VERY detailed output, so look at what appears in the log files, then immediately put the priority down to 5 or less, or switch it off all-together.

I hope this helps, but please do post back if still stuck.

Yours,

Marcus

YEAH!

Thank you for your help. The recommended tutorial pointed out that I need to alter the days of the week offset and the period ID hadn't been updated. All good now. We have a viable system for managing registration for after school clubs.

Last question - our 'classes' span several year groups. How significant is the year setting in the classes table?

Well done, that's good to hear :)

The year group for both students and classes is pretty incidental. It just makes it nicer for grouping some displays (like the All School Summary screen), and in adding totals for reports for whole year-groups. It also does some matching for suggested filtering if manually setting up classes in STEARsoft (eg put all students from year x and house y into my class). I can't think of situations where it should cause you a problem.

Good luck with it all.

Best wishes,

Marcus

PS There's an imminent release that will do a daily ODBC update to pull any changes automatically, which may or may not be useful to you...
