Forum thread: Term dates not matching Make Registers

Hi Marcus,

I have had to change the term dates today as the dates for the half term were wrong on here. However, when making registers, they don't delete, even on Advanced Make Registers?

What do I need to do?

Thank you for this post.

Annoyingly, in this situation, this is intended behaviour. The 'make registers' process creates registers between the dates specified by the term dates, so it doesn't know to delete sessions outside of the term dates - it's not that clever, so wouldn't know the difference between something that you'd want and something you wouldn't want.

This means having to separately delete sessions that fall outside the intended term dates.  For an individual attendance sheet that is no problem (just use the delete sessions option). To delete en-mass is currently not possible - certainly not in an elegant fashion.  You can delete before a particular date, but not after one or between two dates. However, you can use the 'whole school attendance flood-fill' option on the settings tab in the 'all school data' area, to set all registers to be 'no session' for the days concerned. If it's just a week it will take a minute or two. If longer, then it will get a bit tedious as each session (am and pm) will need to be done for each day.  The sessions will still not be deleted though - just marked as cancelled.

The best solution is of course for me to look in to adding a new, more flexible, school-wide delete sessions option and I shall do this. In the mean time, deleting the sessions in each teacher account is probably your best option...

I'm sorry I don't have a more elegant solution at this time, but as I say will look into making an improvement to address this situation in the near future.

Dear Sam,

I should have spotted this a bit sooner.  Here is a much better solution for you for the moment:

Go to the term dates for the term concerned.
Put the end of term date back to the old longer one.
Add a holiday period for the last weeks that you want to delete.
Make registers and the sessions should be deleted.

P.S.  We tend to put term dates in for the whole term and put the half-term holiday as a holiday date within the term. Slightly less cluttered, as we only have 3 terms appear in the year rather than 6 this way.  You could even do the whole year I guess!  Anyway, just a thought to share in case it's useful...

Thanks Marcus, will do that when back next week.

Also, referring to using half term dates. We use a Week 1/Week 2 pattern, and during the half term break, we pause the pattern (week before half term could be 1, then after half term back goes to 2). Is this possible to have the break?

Aha. I can see you have greater control.  To answer your question, STEARsoft should be sensible - if you finished on week1 just before half term, then it will start at week2 when you come back - provided there is more than a week of holiday, that week is not counted, so to speak. That is how it is programmed anyway.

Keeping it separate as you have done, certainly keeps control and leaves nothing to chance, but if you wanted to go to 3 terms, I"m pretty certain STEARsoft will behave sensibly and give you the week numbers you'd expect and want.

You're not missing anything. Incidents are private to each individual teacher.  The incident feature was designed for quick things that might otherwise be recorded as a mark in the register. It's not really designed for the more serious incidents that tend to get recorded centrally. I hear what you're asking though and will add it to the list for potential future development, as it might not take much to enable STEARsoft to bend that way...

Hi Marcus, Sam has asked the question that I was going to ask before! I am trying to make registers after (a very long) process of putting all the staff timetables and data on STEARsoft and have put the term dates with half term holidays etc. However our school doesn't miss a week (if that makes sense) eg. we go 1, 2, 1, HALF TERM, 2. However, when looking at STEARsoft, it looks like the registers have been made as 1, 2, 1, HALF TERM, 1. Is there a way of changing this instead of using 6 terms not 3. Mark.

Thank you for your post. It should work as you want. The thing to check is that when entering the term dates you add the full half term holiday week as part of the term information. Do it as a date range. If your 'days of the week' include any Saturdays or Sundays it is important that the half term dates you give include the weekend.

I hope something there enables you to solve this.

I've got to the bottom of this I think. Sorry, It appears that the 'make registers' process on the iPad/iPhone does the clever date jump, but this isn't in the web version. Clearly that's an ommision which I shall try to resolve. It's possible it will be quick as the code exists already for the iPad and iPhone. I'll investigate and keep you posted.

I have a fix that I have sent in a separate email. This fix will become live on this website in due course. I have also identified a problem with the iPhone version which I also have a fix pending release.

Marcus, I'm currently in an a remote session with the SERVPC and trying to backup - I can't see anywhere in the Admin area - only teacher accounts - is there a way to do a whole school backup? Mark.

There's not a web way. As hinted at above you need to copy all files in a particular directory. Restoring the files in the data directory restores everything, and is how you'd transfer to a new server even. This is also described in the User Guide.

Done, installed and registers are now correct :).
Whilst Sam was in the IT office last year he modified some of the gifs to appeal more to the eye, and changed the O - not yet coded to a red and white 'N' to make it stand out. See screenshot. http://s13.postimg.org/4lmt6fk9j/Picture1.png
Every time before I install an update, I need to cut Sams gif file from Program Files until the new version is installed and then change them over - is there a way to avoid this?

PS. Is there a way to upload images/docs to the forum directly rather than using a 3rd party?

Thank you Mark for this feedback. That's good to hear. That's interesting to see the alternative display. I know Sam had done something, but I'd not seen it.
I'm not sure there's a way to avoid the gif file copying...  I'd keep my own copy permanently and copy them back over the top after an update (only half the effort). It might work if you set the date stamps on the files to be current that they might not get over-written. Not sure. It wouldn't hurt to try.
Finally, there isn't a way to directly send pictures to this forum. Sorry.
