Forum thread: Synchronize Group between 2 IPhones one 4 one 3

Is it possible to synchronize attendance lists/groups between 2 IPhones?

Dear Stephan,

You can change the iPhone that synchronises with an account, so by doing this you can transfer data from one iPhone to another.  To change the iPhone associated with an account you must go into the Administrator area of the web-interface. Click to 'edit' the relevant teacher account and completely delete the Hotsync ID - don't even leave spaces.  You can then connect with a different iPhone which will then be associated with that account (its Hoysync ID will automatically be associated during the first sync).

However, synchronising more than one iPhone with a single account on a day-to-day basis is not supported by STEARsoft.  This means that if you have an iPad and an iPhone you need to choose which one you're going to use.  If you're in a school situation with 2 teachers sharing one class, the normal way to achieve this is for each teacher to have their own attendance data and let the automatic analysis, messaging and reporting features of STEARsoft pull the data together and flag any inconsistencies (for this to happen, you need to assign school ID numbers to each student).

Not so handy but thank you for your quick reply Marcus.

Stephen,

That's a shame.  One last thought in case it's useful.  You can use safari on an iPhone to access 'live' STEARsoft data directly from the server.  The key pages are optimised for use on a small screen (go to preferences to tweak or force this behaviour if not automatically detected).  In this way, the same class data can be accessed from multiple iPhones - or any device with a supported web-browser...  but you will need a network connection for this.  This was how mobile devices were supported before the iPhone App was developed.

Dear Marcus,

thank you very much for your kind reply. Phones with web browser are not the problem. I understood the tutorial this way that 'the server' is on the PC and the Iphone is communicating through WIFI. It seem now that this is a web application? I guess I have to install the trail version and see how to access the web service via internet ... we'll see how the workflow is.

Kindest Regards,
Stephan

Dear Marcus,

I tried, but I only find the setup within a local WIFI network. But didn't you say a account in the internet can be created I can browse to from any device connected to internet. What is the URL and how is the data uploaded from my PC?

Kind Regards,
Stephan

Dear Stephen,

STEARsoft is designed to just work over a local network (which could include a WiFi network).  You are correct that you effectively install a web-server on a PC, which you then communicate with from your devices using a web-browser. In addition, there is a separate iPhone App that allows use of STEARsoft on an iPhone even when not connected to your server (so 2 options on an iPhone).  At our school, if we want remote access, we VPN in and then have access to STEARsoft registration data as well as the other useful school data.  The VPN solution is secure and works well for us.

There is no publicly accessible STEARsoft server on the internet.

Marcus.

Hi Marcus,

I have installed Stearsoft for use in a basketball club which means that the use of it is not made in a single location/building but in 3-4 different locations (basketball stadiums) for all of our coaches in the stuff. In our main location the use of the wifi (consequently, to complete the attendance chart via the app) is ok. However we have coaches that do not have physical contact to the wifi more than once per week or even less.
So, the use of the app is not possible (practically) and the only option is via the web? Ok, it's not something difficult but it would be really nice for everybody to be able to use the database via the app instead of the not really user friendly web access.
Do you have any tutorial about the VPS setup for "Dummies"? :) or maybe you can suggest something?

Hello, something that came up to my mind.
There is the option that we download the server pc application in which we use one pc as the server. What if this server pc is not in the same location, means in the same wifi network? I am asking because we can use a local pc in the registration office but the main management offices of our club have real and secured servers so the actual installation of the program after our test period may be there. So... no same wifi. What are the option for all of us. Just the web access and not the iPhone app?
Secondly is the option of your server that we test now "name".stearsoft.co.uk
Isn't this address that Ive made all the setup the server? Do we need also the pc that will be always open, etc?
Sorry to bother you with so many subjects but I suggest the software to a real serious organisation and I want to have the answers when I'm going to be asked about the options.

Hi Tassos,

Are you aware that you can synchronise the App with the 'STEARsoft Cloud Server'?  This means you can synchronise from remote locations.  No need to be on the wifi at the club.  Any WiFi connected to the internet will do, or even just a (phone) data connection to the internet.

To sync from the iPhone App you need the non-lite version and you need the most recent version of it (3.6.1)

In 'Synchronisation Setup' when adding a server you will need to 'manually enter the server address'.  Just enter "name".stearsoft.co.uk and tap save.  The rest is as before... except on the first sync you will need to enter the 2nd factor authentication pin (which will be emailed to you).

I think this gives you the solution you're looking for.  I hope so.

Yours,

Marcus

PS As a point of information:  When you enter "name".stearsoft.co.uk on an iPhone, it will automatically adjust other bits so that the final result says:
https://"name".stearsoft.co.uk  and sets the port to 443.  So synchronisation will be secure over an HTTPS connection.

Thanks for the reply
As I mentioned I have proposed your app to my current basketball club and we started the test from my account
So I am using the bought app for personal use as I do the last few years but in order not to mess with the test for the club I also downloaded the Lite version and tried to synchronise from there.
So, in order to make the test correctly can I delete all the information stored in the paid version (with backup first) to make the test and after that, according also to the decision made from my basketball club to restore back. (Of course a different user, from the three testers I have can download the paid app:)
Im afraid a little bit the synchronisation "for the first time" from inexperienced users as you mention in one of your tutorials. Is there a security option to avoid possible mess?

OK. That makes sense - so you now know that the Lite version won't work with the Cloud server.

Regarding your own personal iPhone:
Whatever option you select below, it would be a good idea to ensure you have a current backup of your data.  From the main STEARsoft menu in the STEARsoft App do an 'Export attendance data' and a 'Save backup data by email' to get a pdf copy of your registers and a raw data file that you can import again to your iPhone to restore your data.
If you already synchronise your phone with a PC version of STEARsoft then the data is already backed up on your PC.  When you are done testing, you can just synchronise back with your PC to get back to where you were with your personal data, and this is my recommended option.  If you're not synchronised with a PC, you could do so...  It's a good, easy way to keep a regular backup of your data.

With regard 'first time synchronisation':
In the Administrator section, where you can edit teacher account details, ensure that all accounts say NO for detached?  You do not want detached accounts.  Provided accounts are not detached the synchronisation process will not let an iPhone choose to overwrite the 'server' data.  It will be safe.  When you experiment with synchronising with your own iPhone you'll see this.

Yours,
Marcus
