Forum thread: How do you enter past attendance data ie for old dates

I've been looking for a while but can't seem to work out how to enter past attendance data (for example if I didn't do last weeks, it is now greyed out and i can't edit it?)  I have tried looking for options in the edit menus, read the help and tried holding the square for a long time...

How do I do this?

Dear Erin,

Thank you for your post.

The situation you describe sounds like you have successfully created an attendance session for last week, but that your students are only in the class from this week onwards, so appear greyed-out for last week. STEARsoft allows for Students to 'come and go', correctly reflecting when students join or leave a class. When you add students, they join the class on the day you add them. When you delete them they leave on the day you do this (their earlier attendance records remain).

On the PC (web) interface, you can address the issue you highlight by going into the Class Details tab and changing the start date of the students concerned.

Your description sounds more like you're using an iPhone though, which doesn't have this feature. However, you can get the same effect by doing the following:

1) Go to your iPad settings screen and under Date and Time (in General settings), switch off automatic update and manually set the date to say 1st Feb. (Or from when you want to go back to for putting in previous attendance)
2) Re-add your students to the class, but choose the 'Add existing students' option. (should be a quick ticking process).
3) Check your attendance sheet now looks as expected without being greyed out.
4) Return to iPad settings, set the date manually back to today, then switch auto update back on.

Please note that this isn't designed usage, and in general changing the date on your iPad is not a good idea - in a more complex STEARsoft situation you may well get unexpected side effects, but this should be fine for the situation you describe.
