Forum thread: Poblems with syncing and new student entries

We have been having various problems with STEARSoft since the start of term. Firstly, teachers cannot see some new students in the master list, and the "Update data (ODBC)" link is not visible to teachers (the teachers have the right to add new students to their classes).
More worryingly, there appear to be discrepancies between the registers actually taken and the whole school data visible to power teachers.

Thank you for your post and giving us the opportunity to resolve your problems. I'm sorry to hear things are not going so well.
The first two points may well be related. Do I understand correctly that you've set up the ODBC features within the Administrator area to automatically import data from an external database source?
If this is the case, the first reason the 'Update data (ODBC)' option may not appear is that teachers must be added using the 'ODBC: Import teacher accounts' option in the Administrator area (not the manual 'Add teacher account' route). This ensures that a teacher account gains the external ID which it uses to match on for importing further data over the ODBC. You can check to see which teachers have been imported in this way by inspecting the 'School ID' column in the main Administrator page listing all teacher accounts. If a teacher account should have a School ID, but doesn't, you can perform another 'ODBC: Import teacher accounts' which should match by login name and offer to update the relevant accounts. The second reason the 'Update data (ODBC)' option might not appear is if STEARsoft is not in 'school deployment' mode, but 'individual deployment' mode (or if the mode hasn't been set). To check this, log into the Administrator area where you can toggle between the two modes towards the bottom of the left-hand option panel. This feature wasn't always there so may have been introduced if you have recently updated your version of STEARsoft.
It's possible the above may solve your second observation too? If not, I'll add another post below with further ideas.

If the above didn't solve your second observation, this may be dependent on whether you have enabled the 'Central student list' (the setting for this is in the 'Data control and locks' option in the Administrator option panel). If you have enabled this feature, students must be imported by a power teacher into the 'central student list' before they will appear to teachers. Power teachers do this by clicking on 'Central student list' in the Power teacher options on the 'Settings' tab of the 'All School Data' area.
If the above just repeats what you already know and have checked, then do please respond again detailing a little more how you are using STEARsoft (the choices are quite varied). In particular if there was something that was working and now isn't, please detail this process as precisely as you can. If anything has happened between it working and not working, it would be good if you can recall those things (eg an upgrade, network or external database change, new teachers added etc.)

Dear Ilya,
Regarding your final observation. That is indeed of real concern. The only occurrences of this sort of behaviour that we've been aware of have been explained by users looking at an old web-page that hasn't been refreshed, or using the BACK button on the browser (rather than in the interface) which will retrieve old data. On refreshing the page (or if the browser has semi-crashed, stopping and restarting it) these issues have always been immediately resolved. If you have data that looks consistently different (ie doesn't resolve itself on a browser refresh or restart) we certainly want to get to the bottom of that so I would be very keen to hear precise details of what sort of data this is. If this is the case, let me know and it might be best to communicate via email so you can send me any useful screen-shots or data files. If it is that data on an iPhone is not synchronising across, please check that there isn't an error message appearing on the iPhone when a Sync is attempted; if there is a message, let me know what it says and I can try to help resolve that situation.
I'm sorry this is a long reply, but hope it will have helped with some, if not all of your problems.

Good morning, all the problems have evaporated, they seem to hae been a consequence of network issues within the school, and nothing to do with STEARSoft itself. Thanks for your support. Ilya |
